Information we collect

When you register, we receive your account information, such as your name and email address. We store the professional contacts, facilities, case details, tasks, notes, product lines, territory definitions, and other business information you choose to enter in RepBase.

We also collect information about how the service is used, such as pages visited, sessions, locator searches, feature usage, and diagnostic information. Search and AI usage records may be visible to RepBase administrators. Payment and subscription status is recorded, but payment card details are processed by Stripe, not stored by RepBase.

Information that does not belong in RepBase

RepBase is a professional sales tool, not a patient record system. Do not enter patient names, dates of birth, medical record numbers, health records, or other patient-identifying information in notes, cases, uploads, or any other field. Our public-data research is focused on professional and practice information, not private home addresses or personal contact details.

How we use information

We use your information to operate your account, provide CRM, locator, territory research, reporting, and billing features, respond to support requests, maintain security, troubleshoot issues, and understand or improve service usage. Publicly available professional and facility data may be combined with government datasets to provide research results.

Your data and sharing

Your private CRM records are associated with your account. Authorized service administrators may access information needed to operate, secure, and support the service. If you use a team-sharing feature, information you choose to share may be accessible to the team members or managers you authorize. Public professional and facility research data is separate from your private CRM records.

We do not sell your CRM data. We may disclose information to service providers working on our behalf, when required by law, or to protect the service and its users.

Services and data sources

RepBase is hosted on Base44, which provides account, storage, and app infrastructure. Stripe processes payments. Google services may support search, analytics, and advertising measurement; AI services may process information submitted to research features. Public research sources include the National Provider Identifier registry (NPPES), Centers for Medicare & Medicaid Services (CMS), Open Payments, and other cited public sources. These providers handle information under their own terms and privacy policies.

Retention, export, and deletion

We retain account and service information while needed to provide RepBase and for legitimate security, operational, or legal purposes. You can export your business records through Settings. Settings also offers deletion of supported records you own. To delete your account and all associated data, use the account and data deletion page, which works whether or not you can sign in. Some information may need to be retained for legal, billing, or security reasons, and deletion from backups may take additional time.

Security and your choices

We use access controls and encrypted connections to help protect data in transit. No online service can guarantee absolute security. You can review and update information in your account, and contact us with requests about your personal information.

Children's privacy

RepBase is for professional use and is not directed to children under 18. If you believe a child has provided personal information, contact us so we can review the request.

Changes to this policy

We may update this policy when our practices change. We will post the revised version here with a new last-updated date.
